# Create Your Own Meeting Notes Template

> **Success:** PLAN: | PRO | MAX | ENTERPRISE

Custom templates let you set the agenda of your meeting notes. Whether you are running a weekly stand-up, a sales discovery call, or a project sync, you can configure your templates to highlight the information that matters most to you. Each workspace member can create custom meeting notes templates.

**My Meeting Templates** are templates that only you can see and use.

**Workspace Templates** can be created by workspace admins only and made available across the entire workspace.

> **Info:** Please keep in mind that any change made to the meeting's content is reflected for everyone with access to this meeting. There's no per-user view of a meeting's notes.

### **My Meeting Templates (Personal Usage)**

1. Log in to your Sembly account and navigate to **Meetings** settings on the left-hand menu

2. Select the **My** **Meeting Templates** tab and click the **_\+ Create Template_** button

    ![](https://staticfiles.gleap.io/attachments/20260715025431_5748.png)

3. **Name** your template (e.g., "Weekly Sync," "Client Discovery," or "Project Post-Mortem")

4. Configure **Meeting Type\*** if needed. Use this dropdown only if you would like to categorize your template (e.g., "QA Session," "Demo Call") and attach it to a particular meeting type

**_\*_**_Meeting Type_ _is_ a label assigned to a meeting that Sembly can detect automatically and use to apply the specific notes template configured for that type.

    ![](https://staticfiles.gleap.io/attachments/20260715025431_3056.png)

5. Select **Tone** of Voice. This setting tells our AI how to phrase the summary, ensuring the final output matches your needs

    ![](https://staticfiles.gleap.io/attachments/20260715025431_4428.png)

6. Add template sections by clicking **_+Add_**. You can mix and match Suggested Blocks (pre-set by us) and Custom Blocks (created by you) to build the exact structure you need

![](https://staticfiles.gleap.io/attachments/20260715025431_8319.png)

7. _Suggested blocks:_ include pre-configured AI prompts that Sembly relies on to extract specific information from your meetings (e.g., _Action Items_, _Areas for Improvement_, or _Decisions Made_). Simply select the block and add it to your template

8. _Custom Blocks:_ designed for unique requirements. If you have specific needs that aren't covered by the suggested blocks, add a custom block with an AI prompt to define the logic for that section

> **Info:** You can write your custom block prompts in any language, and Sembly will follow them. The prompt language does not set the notes' language. Notes are generated in the meeting's detected language (the dominant one in the transcript).

![](https://staticfiles.gleap.io/attachments/20260715025750_7123.png)

9. Once you have created your blocks, you have total control over the notes structure. You can add, remove, or edit these blocks at any time as your team's workflow or project needs evolve

10. Once your layout is perfect, click **_Save_**

     ![](https://staticfiles.gleap.io/attachments/20260715025832_3479.png)

11. After you have saved your template, you can test it on a real meeting to see the results. To do so, click the **_Try with a meeting_** button and select a meeting from the list to apply a newly created notes template, then hit the button one more time

![](https://staticfiles.gleap.io/attachments/20260715030027_4126.png)

12. As soon as the notes are generated, you can see the outcome, choose another language for it from a dropdown, or choose a different meeting

     ![](https://staticfiles.gleap.io/attachments/20260715030150_1433.png)

13. If you are not satisfied with the outcome, you can easily return to the template settings by closing the pop-up to edit your configuration or review test results one more time

14. When done, go to your meetings, choose one, and apply a new template. If it's attached to a specific meeting type, choose it from the dropdown first, then apply your meeting template. Sembly will regenerate the meeting notes according to the new structure

     ![](https://staticfiles.gleap.io/attachments/20260715030223_1452.png)

> **Warning:** If you apply your personal template to a [meeting shared](https://help.sembly.ai/en/articles/85-share-meeting-between-users.md) with other attendees, the change will be visible to all of them.
>
> All other participants can see the meeting type you assigned (if any) and the name of the template you applied. They will no longer see the previous (default) meeting notes unless you change the template back.

### **Workspace Meeting Templates (Admins Only)**

This section applies to workspace admins who want to create templates available across the **entire** workspace.

1. Log in to your Sembly account and navigate to **Workspace** settings on the left-hand menu

2. Select the **Meeting Templates** tab and click the **_\+ Create Template_** button

    ![](https://staticfiles.gleap.io/attachments/20260715030321_3757.png)

3. **Name** your template (e.g., "Weekly Sync," "Client Discovery," or "Project Post-Mortem")

4. Configure **Meeting Type** if needed. Use this dropdown only if you would like to categorize your template (e.g., "QA Session," "Demo Call") and attach it to a particular meeting type

5. Pick the status:
**_Published_** - the template is **visible to everyone** in the workspace and can be selected and applied by any member. Each workspace admin can manage it

    ![](https://staticfiles.gleap.io/attachments/20260715030321_4638.png)

**_Draft_** - the template is **visible only to the admin who created it**. Even other admins in the workspace will not see drafts created by their colleagues. Draft mode hides the template from the template library, but not from any meeting where it has actually been used

    ![](https://staticfiles.gleap.io/attachments/20260715030321_4948.png)

> **Warning:** Even when a template is in **Draft** state, if you (the admin who created it) apply it to a [shared meeting](https://help.sembly.ai/en/articles/85-share-meeting-between-users.md), the resulting meeting notes will still be visible to **all participants of that meeting.** Please apply draft templates with care.

8. If you want Sembly to automatically apply this custom template structure whenever this specific meeting type is detected by Sembly or manually assigned, check the box **_Set as a default template_**

    ![](https://staticfiles.gleap.io/attachments/20260715030508_7218.png)

9. Select **Tone** of Voice. This setting tells our AI how to phrase the summary, ensuring the final output matches your needs

    ![](https://staticfiles.gleap.io/attachments/20260715030537_8806.png)

10. Add template sections by clicking **_+Add_**. You can mix and match Suggested Blocks (pre-set by us) and Custom Blocks (created by you) to build the exact structure you need

![](https://staticfiles.gleap.io/attachments/20260715030537_7529.png)

- _Suggested blocks:_ include pre-configured AI prompts that Sembly relies on to extract specific information from your meetings (e.g., _Action Items_, _Areas for Improvement_, or _Decisions Made_). Simply select the block and add it to your template

- _Custom Blocks:_ designed for unique requirements. If you have specific needs that aren't covered by the suggested blocks, add a custom block with an AI prompt to define the logic for that section

![](https://staticfiles.gleap.io/attachments/20260715030712_4722.png)

11. Once you have created your blocks, you have total control over the notes structure. You can add, remove, or edit these blocks at any time as your team's workflow or project needs evolve

12. Once your layout is perfect, click **_Save_**

![](https://staticfiles.gleap.io/attachments/20260715030752_8497.png)

13. After you have saved your template, you can test it on a real meeting to see the results. To do so, click the **_Try with a meeting_** button and select a meeting from the list to apply a newly created notes template, then hit the button one more time

![](https://staticfiles.gleap.io/attachments/20260715030752_6929.png)

14. As soon as the notes are generated, you can see the outcome, choose another language for it from a dropdown, or choose a different meeting

![](https://staticfiles.gleap.io/attachments/20260715030752_7424.png)

15. If you are not satisfied with the outcome, you can easily return to the template settings by closing the pop-up to edit your configuration or review test results one more time

16. When done, go to your meetings, choose one, and apply a new template. If it's attached to a specific meeting type, choose it from the dropdown first, then apply your meeting template. Sembly will regenerate the meeting notes according to the new structure

### **Managing Your Templates**

On your main templates dashboard (**My Meeting Templates** or **Workspace Meeting Templates**), you can view and manage all your configurations. For every template in your list, you have four primary actions available:

- **Try the template at your meeting:** helps you test it properly before modifying any real meeting or **View test result:** check what's already been generated.

- **Edit:** update your template by modifying blocks or adjusting prompts to better suit your needs.

- **Duplicate:** create an exact copy of an existing template, allowing you to use it as a base for a new template.

- **Delete:** permanently remove the template from your account. Before deleting, we **strongly recommend** considering whether it is better to edit the existing template or simply create a new one. Keeping the old template ensures that your historical meeting data remains intact and accessible.

![](https://staticfiles.gleap.io/attachments/20260715030852_3453.png)

> **Warning:** When you delete a template, all meeting notes previously generated using that template will also be deleted. This includes all historical data associated with those meetings.

### **Configuring External Sharing Settings**

By default, when you share meeting notes outside of your workspace, Sembly uses the template assigned to that meeting. However, you can manage whether your custom templates are visible to external recipients or if they should see a standard, generic version instead.

![](https://staticfiles.gleap.io/attachments/20260715031045_4687.png)

This is particularly useful if your custom templates contain internal-only structures or specific logic that you’d prefer not to share with clients or external partners.

How to Change Sharing Templates:

1. Log in to your Sembly account and click the **_gear icon_** in the left-hand menu to choose **Settings**

2. Select the **Details** tab under the Workspace

3. Scroll down to **Meeting Notes ->** **Default Sharing Template**

4. You have two options to choose from:

    - **_Specific based on the meeting type_** - both workspace and external users\* will see the same notes with custom templates applied when a meeting is shared

    - **_Generic_** - only workspace users will see notes with custom templates applied. All external users\* will see only the default Sembly templates when a meeting is shared with them

        ![](https://staticfiles.gleap.io/attachments/20260715031045_3009.png)

\*_external users are users who received access to a meeting via a_ [guest link](https://help.sembly.ai/en/articles/97-share-a-meeting-by-link.md)_, by_ [email](https://help.sembly.ai/en/articles/85-share-meeting-between-users.md) _(shared with another workspace), with view or edit access._

**IMPORTANT**! If you choose Generic, apply a custom meeting notes template, and [share only a public link](https://help.sembly.ai/en/articles/97-share-a-meeting-by-link.md) to the meeting notes, anyone who receives that link will see the meeting notes with the custom template, not the default one.
